A white paper can do more than sit on a download page. Used well, it shows what you know, earns attention from the right people and gives you a reason to start a conversation. Used badly, it collects a few downloads from people who were never going to buy.

This guide walks through how to plan a white paper campaign that turns downloads into qualified leads.

What a white paper campaign is

A white paper campaign has three parts: a useful, well-researched document; a way to get it in front of the decision-makers you want; and a process to follow up with the people who engage. The document is the hook, but the campaign is what creates the pipeline.

Step 1: Pick a topic your buyers care about

Start from your ideal customer profile. What problem keeps them busy? What decision are they trying to make? A strong topic answers a real question, such as how to compare options, how to avoid a common mistake or what a new regulation means in practice. Avoid a thinly disguised product brochure.

Step 2: Write something worth reading

  • Lead with insight, original research or practical advice.
  • Keep it focused and easy to scan, with clear headings.
  • Use real examples and plain language.
  • Add a short, honest section on how you can help.

Step 3: Build a simple landing page

The page should say clearly what the reader will learn and ask only for the details you really need, such as name, business email, company and role. Fewer fields usually mean more downloads, but collect enough to qualify the lead properly.

Step 4: Put it in front of the right people

This is where many campaigns fail. Publishing the document is not the same as promoting it. Share it with targeted decision-makers through email outreach, relevant communities and your own channels. A researched list of the right roles in the right companies makes far more difference than a large, generic audience. Our guide to verified B2B data explains why list quality matters.

Step 5: Qualify and follow up

A download is a signal, not a sale. Check who downloaded: does the company match your profile, and does the person hold a relevant role? Then follow up with something helpful rather than an immediate pitch. A simple qualification step helps your sales team focus on the best conversations.

Step 6: Measure what matters

  • Downloads from target companies, not just total downloads.
  • Replies and meetings that follow.
  • Cost per qualified lead.
  • Which topics and channels bring the best-fit readers.

Common mistakes

  • Writing for yourself. If it reads like an advert, readers leave.
  • No promotion plan. A great document nobody sees produces nothing.
  • Chasing volume. A smaller number of the right readers beats a pile of unqualified contacts.
  • Slow follow-up. Interest fades quickly.

An example from our work

We ran lead research and outreach for Lamipak’s white paper and SIAL Paris 2026 campaigns, researching around 1,000 decision-makers. You can read the details in the Lamipak case study.
