A list is only as useful as the data inside it. Verified B2B contact data has been checked, not just collected. The difference shows up in how many emails bounce, how many messages reach a real decision-maker and how much of your team’s time is wasted on dead ends.
This guide explains what verification involves, what it cannot do and how to judge a data provider.
Why data goes bad
People change jobs, companies rebrand, domains lapse and mailboxes are closed. Data that was correct last year may be wrong today, which is why a one-time purchase of a large list rarely performs as promised. Verification is the process of confirming that the details are still right before you use them.
The layers of verification
1. Email verification
Each address is checked for correct format, a working domain and a mailbox that can receive mail. Good verification also flags risky addresses, such as shared role inboxes (for example info@ or sales@), and domains that accept all mail without confirming individual mailboxes, which can hide invalid addresses.
2. Company and domain validation
The company should exist, be active and match the profile you asked for. Checking the website domain and basic company details helps avoid mismatches, such as a similarly named business in a different industry.
3. Job title confirmation
Titles drive relevance. Confirming that a person still holds the role listed, and that the role matches your target decision-makers, keeps outreach tied to a real business responsibility.
4. Duplicate removal and quality checks
The same person can appear several times under different spellings or addresses. De-duplication and final quality checks keep the list clean and avoid contacting someone twice.
5. Manual review
Automated tools are fast, but a human looking at the record catches things they miss: a title that does not make sense, a company that has been acquired, an address that looks right but belongs to someone else. Manual checks are slower and more careful, which is why they are worth asking about.
What verification cannot do
No provider can honestly promise a perfect list. Verification reduces bounces and wrong contacts, it does not remove them completely, and data begins to age the moment it is checked. Treat any promise of “100% accuracy forever” with caution, and prefer a provider who explains exactly what they check and when.
Staying compliant
Good data practice is also about respect. Use business contact data only, keep outreach relevant to the person’s professional role, and remove anyone who asks to be removed. The rules differ between countries and depend on your situation, so check the requirements for the markets you contact, and take legal advice where you need it. This guide is general information, not legal advice.
Questions to ask a data provider
- What exactly do you check, and is any of it done manually?
- How recently was this data verified?
- How do you handle opt-outs and suppression?
- Can I see a sample before I commit?
- What happens if a contact bounces?
